Estate distribution checklist template
When to use it
- The grant has arrived, the money is in, and you are about to pay the beneficiaries.
- You want to be sure nothing (or no one) has been missed before the estate is closed.
- The estate is small but you still want the legal order of payments done properly.
How to use it
- Do not distribute early — the checks at the top exist because executors can be personally liable if money goes out too soon.
- Get a signed receipt from every beneficiary for every payment.
- Once everything is paid and receipts are in, the estate can be closed.
Before paying anyone
- Confirm the statutory notice period has passed (if notices were placed)
- Check all debts, taxes and expenses are paid or provided for
- Confirm no Inheritance Tax instalments or HMRC queries remain open
- Check for claims against the estate (dependants, creditors, disputes)
- Have the final estate accounts approved by the residuary beneficiaries
The order of payment
- Funeral, testamentary and administration expenses
- Debts in the legal order of priority
- Specific gifts (named items) and then cash legacies
- The residue to the residuary beneficiaries
Closing the estate
- Collect a signed receipt from each beneficiary
- Close the executor or estate bank account last
- File the accounts, receipts and grant papers somewhere safe
- Tell the beneficiaries the estate is closed
